What is gift aid and how can grassroots sports clubs maximise the benefits?

If your club relies on memberships, donations, and fundraising, you could be missing out on thousands of pounds each year.
Gift Aid allows eligible clubs to claim an extra 25p for every £1 donated by a UK taxpayer. That means a £100 donation becomes £125 at no extra cost to the donor.
Across the UK, hundreds of millions of pounds in Gift Aid go unclaimed every year. Many sports clubs either are not registered correctly or do not have the right systems in place.
This is money your club could be using to invest in facilities, equipment, coaching, and community programmes.
What Is Gift Aid?
Gift Aid is a government scheme. It allows registered charities and Community Amateur Sports Clubs, known as CASCs, to reclaim the basic rate of tax on donations made by UK taxpayers.
For every £1 donated, you can claim an extra 25p from HMRC. If your club receives £20,000 in eligible donations, you could claim an additional £5,000. Over five years, that is £25,000 of extra income.
Who Can Claim Gift Aid?
To claim Gift Aid, your club must:
Be registered as a charity or CASC
Be recognised by HMRC for tax purposes
Have valid Gift Aid declarations from donors
If your club is unincorporated and not registered, you cannot claim. If you are unsure about your status, this is often the first issue we resolve for clubs.
What Can Clubs Claim Gift Aid On?
Gift Aid applies to voluntary donations from individuals. This can include:
Donations from parents
Voluntary contributions alongside membership
Sponsored events
Fundraising campaigns
Volunteer expenses that are paid and then donated back correctly
However, there are rules. For example, CASCs cannot claim Gift Aid on mandatory membership subscriptions. Charities can claim on membership in certain structures, but only if the payment does not give personal use of facilities.
A well-structured membership model can unlock significant Gift Aid income. A poorly structured one can block it entirely.
The Opportunity for Sports Clubs
Sports clubs across the UK are missing out on substantial income in Gift Aid each year. Even small clubs can benefit.
If 120 parents each make a voluntary £15 monthly donation that qualifies for Gift Aid:
£15 x 120 x 12 months = £21,600 in donations
Gift Aid at 25% = £5,400 extra per year
Over three years, that is £16,200.
That could fund pitch hire, coaching costs, or capital reserves.
Case Study: Gala Fairydean Rovers Community Trust
We recently supported Gala Fairydean Rovers Community Trust to unlock over £20,000 in Gift Aid.
The club had strong community engagement and regular payments coming in. However, they were not maximising Gift Aid.
We supported them to:
Register correctly with HMRC
Review and restructure payment models
Backdate eligible claims
Put compliant Gift Aid declarations in place
Create clear systems for record keeping
Train staff and volunteers on the process
The result was over £20,000 unlocked.
Importantly, we also built a sustainable system so Gift Aid continues to generate income every year.
“Within a fortnight Andrew had streamlined our system and taken a lot of weight off our shoulders. Within a month he had dug into our records, helped us frame new policies and was able to backdate our first claim right back to the incorporation of the Trust,” - Dave Scott, Trustee of Gala Fairydean Rovers Community Trust.

How We Support Clubs
We have supported numerous clubs to:
Assess whether charity or CASC status is right for them
Register with OSCR and HMRC
Restructure memberships to enable Gift Aid
Backdate claims within HMRC time limits
Submit claims correctly and efficiently
Implement simple, compliant systems
Many clubs worry that Gift Aid is complicated. It does require care, but with the right structure, it becomes routine.
We handle the technical detail so you can focus on running your club.
Upfront Support at No Cost
In most cases, we support clubs through registration, restructuring, and setup without upfront fees. This removes the financial barrier and allows you to move forward with confidence.
If your club is generating income already, you could be sitting on unclaimed Gift Aid. If you are planning to grow, now is the time to structure things correctly.
