Gift Aid for Sports Clubs: How to Register and Claim with HMRC

Membership subscriptions. Donations. Fundraising events. If your club is receiving money from UK taxpayers, Gift Aid could be significantly boosting what you keep — at no extra cost to your donors.



Gift Aid is one of the most underused income streams available to community sports clubs. Yet the mechanics are straightforward: if a UK taxpayer makes a donation to your club, HMRC will top it up by 25p for every £1 donated — at no cost to the donor whatsoever. On a £1,000 donation, that's an additional £250 your club receives. On £10,000 in eligible donations over a year, that's £2,500 back. It adds up.


To start claiming, your club needs to register with HMRC and meet a few key eligibility requirements. Here's what you need to know — and where CDS can help.


Is your club eligible?


To claim Gift Aid, your club must be recognised by HMRC as a charity or Community Amateur Sports Club (CASC). The key eligibility conditions are:


✅ Your club operates for the benefit of the community, not for private profit

✅ Donations must come from UK taxpayers who have paid at least as much Income Tax or Capital Gains Tax as you're claiming

✅ You hold a valid Gift Aid declaration from each donor

✅ Your club keeps appropriate records and has a compliant Gift Aid policy in place


Important: Not all income is eligible. Membership subscriptions are generally not claimable under Gift Aid unless certain conditions are met. Donations — including those collected at events, through fundraising campaigns, or via direct giving — typically are. Getting the distinction right matters.


How to register and start claiming

The process involves a few key steps:


📋 Register with HMRC — You'll need to create a Government Gateway account and register your club as a charity or CASC for Gift Aid purposes

📝 Collect Gift Aid declarations — Every donor must sign (or submit online) a declaration confirming they're a UK taxpayer. These need to be stored securely

📁 Maintain accurate records — HMRC can audit your claims, so robust record-keeping is essential from day one

💻 Submit claims online — Once registered, you can claim Gift Aid through HMRC's online service at gov.uk/claim-gift-aid-online. Claims can be submitted as often as you like, and most refunds are processed within five working days


Don't forget: you may be able to backdate claims


One of the most valuable aspects of Gift Aid is the ability to backdate claims. If your club has received eligible donations in previous years but wasn't registered — or simply didn't claim at the time — you may be entitled to reclaim Gift Aid going back up to four years, provided you hold compliant Gift Aid declarations for those donations.


For clubs that have been active for several years, backdated claims can represent a meaningful one-off cash injection.
